Bike Week Motorcycle Tours LLC provides all the planning of the tour. We give you the riders the freedom to marvel at the scenery, make new friends, and enjoy the good life and of the roads ahead.
Rental Confirmation & Credit Card Deposit
With your signature on the Tour Confirmation & Credit Card Deposit Agreement Form you accept these Terms and Conditions as a binding contract between Bike Week Motorcycle Tours LLC and yourself, as the Guided Tour Participant. Please read them carefully. Bike Week Motorcycle Tours LLC cannot accept any tour participant without a duly signed Tour Confirmation & Credit Card Deposit Agreement Form. There is a 4.4% additional fee for Credit Card use. We can take Bank wire transfers.
Deposit & Reservation
A $1,250 USD deposit is required per person at the time of booking, with the remaining balance due 60 days prior to the arrival date for the tour. By signing the Credit Card Authorization form you give Bike Week Motorcycle Tours LLC permission to charge your card 60 days prior tour start. If, in case of payment by wire transfer or check, the total balance is not received 60 days before tour start. Bike Week Motorcycle Tours LLC reserves the right to cancel the Guided Tour reservation and charge a cancellation fee.
Release and Waiver
Every participant in an Bike Week Motorcycle Tours LLC is required to accept and sign a Tour Agreement and Liability Release Waiver before the Guided Tour begins. Bike Week Motorcycle Tours LLC cannot accept a tour participant without these signed forms. Bike Week Motorcycle Tours LLC will email you the Tour Agreement and Liability Release Waiver once sign up form has been received.
Baggage
Bike Week Motorcycle Tours LLC assumes no responsibility for loss, damage, or delay in delivering baggage to tour participants. Baggage insurance is recommended.
Cancellation and Refunds
Cancellations received less than 60 days prior to departure will be subject to the following forfeit of tour cost:

31 - 60 Day Cancellation Notice: 60% of Total Booking Amount

30 or Less Day Cancellation Notice: 100% of Total Booking Amount

No Show: 100% of Total Booking Amount
All Cancellation Fees will be charged to the credit card on file.
Tour Cancellation
In the rare event of a tour cancellation by Bike Week Motorcycle Tours LLC, we will notify all tour participants immediately. Bike Week Motorcycle Tours LLC will offer to operate the tour if all booked customers agree to a supplement charge if minimum amount of riders are not reached for booking the tour. If customers do not accept to pay the supplement, Bike Week Motorcycle Tours LLC will refund their payment in full, which will constitute the full settlement. Bike Week Motorcycle Tours LLC is not liable for any additional costs or losses incurred by the tour participant due to Bike Week Motorcycle Tours LLC cancellation of tour due to lack of participation. This includes, but is not limited to the cost of pre-paid airline tickets, hotel reservations or motorcycle rentals. Situations may arise which will make it necessary for us to cancel, advance or postpone a scheduled tour, change itineraries or make substitutions regarding hotels, cities, tour guides and other travel arrangements. In that event, we do not assume responsibility or liability for any resulting losses, expenses or inconvenience. Your full tour price will be refunded if the tour is cancelled prior to scheduled tour start date.

Bike Week Motorcycle Tours LLC recommends that you take out adequate travel, health and accident insurance, as well as trip cancellation insurance.
Non-observance of traffic laws and group travel regulations
If the tour participant does not comply with traffic laws or the requirements for group travel, Bike Week Motorcycle Tours LLC may cancel the contract and the rental motorcycle will be secured.
Rental Requirements
21 years of age or older
Valid motorcycle operator’s license
Minimum of one year of riding experience on heavyweight motorcycles
Major credit card is required
We accept a current and valid driver’s license from your home country with the proper class or endorsement permitting you to ride the motorcycle, or equivalent of the motorcycle, you are renting. Please note: State laws apply to your rental vehicle and its use.

When picking up from locations in the United States:
Licenses issued from the United States:
· Two-wheel vehicles: Motorcycles
All 50 states require some sort of motorcycle endorsement on your driver’s license which is equivalent to the motorcycle you are renting.
· Three-wheel: Trikes
A three-wheel vehicle endorsement may be required

Here are some examples of alternative licenses that are accepted:
Licenses issued from the European Union (Germany, Italy, France, United Kingdom, Austria, Belgium, Bulgaria, Croatia, Republic of Cyprus, Czech Republic, Denmark, Estonia, Finland, Greece, Hungary, Ireland, Latvia, Lithuania, Luxembourg, Malta, Netherlands, Poland, Portugal, Romania, Slovakia, Slovenia, Spain, and Sweden):
· A1/A2 – Will allow you to rent scooters.
· A – Will allow you to rent motorcycles or scooters.
· B1 – Will allow you to rent three-wheeled vehicles.

Licenses issued from Canada:
· Class 6 designation – For all provinces except for Ontario
Ontario
§ Class M1/M2: Will allow you to rent scooters.
§ Class M: Will allow you to rent motorcycles or scooters.
§ Class M Condition M: Will allow you to rent three-wheeled vehicles.

Licenses issued from Australia:
· R-Date – Will allow you to ride scooters.
· R – Will allow you to ride motorcycles or scooters.
Licenses issued from Brazil:
· Category A - designation on your driver’s license to ride any motorcycle or scooters.

International Driver’s Permits:
· Although not required, it is recommended for all visitors with a license in a foreign language to obtain an IDP.
· If your license is legible, we will accept it.

Tour Guides
Your Tour Guides are there to assist you while on tour and will do their best to ensure that every participant gets the most out of your Bike Week Motorcycle Tours tour experience. It is extremely important for all riders to listen carefully to the Tour Guide’s safety and travel instructions each morning to help ensure the best possible group riding conditions. Should you desire to travel independent of the group for any length of time, the Tour Guides can assist you in planning a suitable route.
Alterations to tour schedule
Tours operate on a seasonal basis and where seasonal variances and/or weather conditions cause changes in the tour routing and accommodations the itinerary will be adjusted accordingly, with alternate hotels, restaurants and roads being selected.
Weather conditions
Bike Week Motorcycle Tours LLC strives to schedule its tours at a time of the year when the weather in the touring area is typically pleasant for motorcycling. Many tours pass through areas where weather conditions can change very rapidly. Bike Week Motorcycle Tours LLC cannot be held liable for unpleasant and unsuitable weather conditions, and no refunds shall be granted for such conditions.
Waiver coverage
All Theft and Damage Waivers and Supplemental Liability Insurance options are subject to the express terms and conditions of the rental contract and do not include coverage for injury, personal property, or damage as the result of negligence such as illegal use or use of rental while under the influence of drugs or alcohol. A Police Report is required for all damages or accidents. All damages to rented motorcycle without a police report will be considered to be at the fault of the Renter.
Insurance
Bike Week Motorcycle Tours LLC recommends that you take out adequate travel, health and accident insurance as well as Trip Cancellation Insurance. Bike Week Motorcycle Tours LLC currently offers Theft and Damage Waivers, as well as Supplemental Liability Insurance for motorcycle rentals.
Free Transfers
Transfer between the contracted arrival and departure hotels and the Bike Week Motorcycle Tours locations is included on all Guided Tours. Restrictions may apply at various locations.
Helmets (included)
Helmets are provided with motorcycle rentals and tours. Clients are encouraged to bring their own helmets to ensure comfort and proper fit. In addition, helmets may be purchased at many Bike Rental locations.
Fuel and Oil
Fuel and oil costs are included on all Guided Tour riding days. However, Bike Week Motorcycle Tours LLC reserves the right to charge an additional fee if fuel costs significantly exceed the average price per gallon at time of printing.

Payment by Credit Card or Wire Transfer
Tour Deposit can be made by the following credit cards, VISA, Master Card through PayPal. In this case the balance amount must be credited on the Bike Week Motorcycle Tours LLC account 60 days prior tour start.
